Executive Secretary
Job Brief:
The Secretary provides high-level administrative support to senior executives by handling a wide range of executive-level tasks and maintaining the smooth functioning of the Office for all the teams. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities with professionalism and welcome guests, manage supplies, manage the conference room and prepare it for meetings.
Key Responsibilities:
- Organize and maintain confidential files, records, and documentation
- Handle incoming calls, emails, and inquiries on behalf of the executive
- Support project tracking, event planning, and special assignments as required
- Coordinate domestic and international travel arrangements and itineraries
- Manage the office and supplies, manage the meeting room for team meetings
- Manage executive calendars, schedule meetings, and coordinate appointments
- Serve as the primary point of contact between the office and employees and internal/external stakeholders
Requirements
Your Qualifications
- Associate’s Degree or relevant certification/s preferred
- Minimum 3 years relevant experience
Your Proficiencies
- Advanced knowledge of Microsoft Office
- Communication, negotiation and relationship-building skills
- Strong writing skills in Arabic & English
- Business math skills
- Results oriented – possessing initiative, adaptability, and the ability to lead and make informed decisions
- Good understanding and application of confidentiality
- Organized, and with good attention to detail
