Responsible for the overall operations and medical excellence of the CosmeSurge Clinic, in collaboration with all departmental heads.
Responsible for advancing the interests of the facility, as expressed in its Vision and Mission statements.
Responsible for providing the highest level of effective representation to the facility system and the community which it serves.
Accountable for generating growth opportunity in overall clinical operations of the facility by developing and implementing strategic sales plan.
Operations - Ethical Practice
• Responsible for the day-to-day administrative operations of the facility, the delegation of duties and the establishment of formal means of accountability.
• Maintain interface with departmental personnel to ensure there is adequate space and facilities for patient care and coordination of facilities.
• Provide support to the clinical, operational and facility services throughout the facility.
• Liaises with clinical professional staff in order to provide seamless patient care in all aspects of the journey through the facility.
• Manages and oversees that all documentation is correctly presented prior to patient’s files being used and returned thereafter to medical records.
• Investigate patient/visitor concerns and implements appropriate courses of action.
• Provides oversight on the process of ensuring that appropriate providers are available to deliver medical information upon request of patients.
• Ensures that all financial transactions are conducted in accordance with pertinent standards and legal requirements.
• Ensures the effective operation of a quality improvement process for the facility, including the periodic assessment of patient satisfaction.
• Take corrective action in situations requiring immediate intervention including interpretation and administration of company policy and work rules.
• Accountable for the provision of high-quality patient care, based on a competent understanding of patient / staff / medical / customer needs within established policies, procedures, and protocols.
• Ensures the timely update of policies and operational procedures manuals in accord with UAE laws
• Document pertinent information, actions, and decisions; and communicate to the appropriate leadership.
• Ensures that an annual audit is conducted, and appropriate actions are taken in accordance with the findings.
• Participate in Quality and Accreditation activities such as DHA, JCIA, OSHAD, FANR, etc.
• Ensure that quality of services is provided as per standards of applicable health authority.
• Ensures that safety of all employees, patients, physicians, guests, visitors, and others is adequately addressed and protected.
• Monitor emergency action procedures and coordinate activities related to patient/staff evacuation as needed.
• Function as on-site coordinator for internal/external disaster or other major events
• Responsible for the effective representation of the facility at appropriate public, civic and other organizational activities, and meetings.
• Perform other duties and tasks assigned by the Head of Department within the scope of his/her job
Customer Service
• Acts as the principal customer representative for the facility
• Adhere to the clinic’s vision, mission, and core values.
• Explain details of the Bills to patients or relatives when necessary
• Ensure proper coordination of care from the reception to the consultation rooms, cashier till check-out.
• Act as a translator if needed
Business Management
• Initiate, complete proposals and presentation for new business opportunities.
• Support the reporting manager and colleagues to deliver outstanding presentation to capture profitable business opportunity.
• Assist in the development of organizational marketing strategies and implement them by evaluating marketing trends, determining quality and customer service strategies, designing marketing systems, accumulating resource, and establishing marketing objectives in line with the organizational objectives.
• Prepare and consolidate marketing proposals by gathering information from representatives, research reports, etc.
• Develop promotional strategy to maximize facility’s service distribution. Oversees promotional activities, selecting service delivery methods and quantifying the results of the promotion.
• Responsible for the maintenance and updating the short- and long-term strategic plans aimed at achieving the mission and goals of the company. Communication
• Exercise good judgment and maintain confidentiality in maintaining critical and sensitive information, records, and reports.
• Effectively and consistently communicates to administrative personnel and encourage interactive departmental meetings and discussions.
• Communicates the mission ethics and goals as well as the focus statement of the department.
• Professional attitude and aptitude towards communication keeping in mind that in every communication to internal or external customers the Clinic is represented.
• Ensures comprehensive handover of duties, and pending actions are communicated prior to leaving the premises, taking days off, going on annual leave. Staff Management
• Guide and mentor junior and new staff and encourage multi-disciplinary teamwork.
• Assist in evaluating and reassigning staff during crisis situations.
• Provide on-site management/leadership of crisis situations to prevent or minimize disruption of services.
• To conduct performance management appraisals and practice improvement on all direct subordinates with a secondary professional function for nursing and medicine provided by the Deputy COO and Medical Director as necessary.
• To ensure adequate annual leave given and covered according to the scope of service advertised.
• To ensure that Overtime hours are properly approved and necessary and compensated regularly to ensure no overwhelming build-up.
• Assist in the interviewing and selection process for any new staff for the facility as required.
Qualifications Required

Master degree in Hospital Management (preferred) Experience
•
Minimum 6 years of experience in an aesthetic clinic/set-up with at least 2 years in a similar role Skills & Competencies Required
