Finance and Administrative Intern
Description
The Finance and Administrative Intern will provide financial support to ensure that our systems and processes are in compliance with office policies, as well as providing administrative support to all team members for the planning and execution of project activities.
This role will need to be able to prioritize and support a variety of tasks, providing financial, operational, and administrative support within an office setting, an understanding of basic financial principles, and the ability to coordinate with multiple local stakeholders.
Objective of the internship: Be trained on and support the organization on the Finance, Administration and HR processes, interacting on daily basis with cash flow, bank reconciliation, payable and receivable accounts, issuance of related documents, employees benefits purchase and control, facilities and IT.
Main Functions:
Finance:
- Efficiently support the organization's accounts payable and receivable processes.
- Maintain accurate and up-to-date records in the financial system, ensuring data integrity.
- Perform daily bank statement reconciliation with financial records and documents.
- Coordinate the flow of documents and information with the accounting partner.
- Communicate and document required for reporting to suppliers and sponsors.
- Prepare and send receipts, invoices, proof of payment, and other relevant documents.
- Assist in identifying and resolving discrepancies in financial records and documents.
Administration:
- Collect, organize, and keep employee documents up to date.
- Support HR document processing for the organization.
- Assist in the onboarding process of new employees, ensuring their inclusion in benefit plans and providing necessary work resources.
- Support the administration of employee benefits, such as health insurance, meal vouchers, and transportation allowances.
- Provide assistance in the management of the organization's facilities, ensuring proper maintenance of the office.
- Provide support to the team regarding IT, including purchasing equipment and accessories and assisting with external IT support calls.
- Perform other tasks and take on additional responsibilities as required by the organization.
Requirements
Desired skills:
- Excellent computer skills, particularly in Excel and Word.
- Willingness to learn, strong organizational skills, responsibility, and commitment.
- Occasional availability for travel: 0–20% of the time, when school’s schedule allows.
- English and/or Spanish is a plus.
