Job Description
We are seeking a highly organized and efficient Team Assistant to join our dynamic team in Baar, Switzerland. As a Team Assistant, you will play a crucial role in supporting our Legal, IT & Communications teams and ensuring smooth administrative processes as well as support the office management activities.
Manage calendars, schedule meetings, and coordinate travel arrangements for team members
Prepare and edit various documents, reports, and presentations
Handle incoming calls, emails, and correspondence professionally and efficiently
Organize and maintain filing systems, both digital and physical
Coordinate team events, meetings, and conferences
Provide general administrative support to ensure office operations run smoothly
Act as a liaison between team members and other departments or external partners
Assist with special projects and additional tasks as needed
Contact with external services (notary, post, travel agent, etc.)
Maintaining office procedures and manuals
Order office supplies, refreshments and catering for meetings
Request quotes, e.g., office renovation, new cleaning company, new courier service, repair work, bus company for Christmas party, flowers
Qualifications
High school diploma or equivalent (required); Associate's or Bachelor's degree in Business Administration or related field (preferred)
2+ years of experience in an administrative or team assistant role
Strong organizational skills with the ability to multitask and prioritize effectively
Excellent written and verbal communication skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Demonstrated ability to handle confidential information with discretion
Proactive approach to problem-solving with strong decision-making skills
Attention to detail and accuracy in all tasks
Ability to work independently and as part of a team
Fluency in English and German (required due to the location in Switzerland)
Flexibility to adapt to changing priorities and deadlines
