Wood is recruiting for an Expediting and Inspection Coordinator to join its Projects – Process and Chemical team focusing on post order activities of complex plants in the Chemical, Petrochemical, Pharmaceutical and Energy industries. The position will be based in Corsico (Milan) office, with the possibility to work from home up to two days per week.

The Expediting and Inspection Coordinator oversee and manages the activities of the expediting team and will be the main contact for all expediting activities, both at the desk and shop levels

The key objectives for this role are:
Oversee and manages the activities of the expediting team
Be the main contact for all expediting activities, both at the desk and shop levels
Participate in meetings during the pre-award phase and provides input to the Project Supply Chain Manager regarding supplier evaluation
Prepare a comprehensive expediting plan, assigning criticality levels to all purchase orders and identifying the critical path purchase orders that require specific expediting plans
Assign purchase orders to Desk Expeditors and regularly reviews their performance
Review and approve the use of third-party expediting and inspection resources
Coordinate and facilitate expediting activities between different disciplines within the project
Agree on the format, frequency, and ownership of project expediting status reports
Review and reassess the criticality levels of purchase orders to ensure they align with project priorities
Attend regular engineering review meetings to prioritize specific data requirements and ensure appropriate actions are taken by the expediting team
Serve as the first point of escalation for purchase orders experiencing poor performance and are responsible for implementing strategies and corrective actions to mitigate delivery slippages
As needed, attend shop visits to critical path suppliers, supporting ongoing expediting activities
Provide a single point contact to manage the interface between the Client and Wood for all matters relating to the inspection
Prepare and issue Source Inspection Plan and Procedure, including Inspection and Test Instruction to Vendors, set-up and update inspection files
Review all direct purchase orders and Vendors’ suborders against material requisition and job specifications to determine if inspection is required and develop an equipment list for inspectable items
Define the Level of Inspection for all inspectable items by the Criticality Rating assigned to the specific commodities included in the Material Requisition
Ensure that dedicated Inspection and Test Plan (ITP) will be prepared by Vendor as minimum for each equipment and materials
Schedule and supervise the review of Vendor's ITP and inspection procedures by Inspectors
Ensure that notification of readiness for inspection marked-up as “Witness” and “Hold” on the ITP will be prepared by Vendor and issued to Wood
Co-ordinate execution of Inspections through assigned Wood Inspectors and/or agency Inspectors
Maintain an efficient inspection program on Vendor supplies
Attends, when required, the orders negotiation, give assistance to solving questions or problems concerning the extent of Inspection at Vendor shop as per Wood General Specification and Instructions. The Expediting and Inspection Coordinator checks whether purchase order contains Inspection and/or quality surveillance clause
Avoid that inspectable material could be shipped without inspection
Avoid that Vendor will work using not approved procedures
Confirm to Vendors that in no case production may be stopped while waiting for the Inspector
Obtain unpriced Sub‑order copies from Vendors, screen them to state which ones cover inspectable materials and distribute them to appointed Inspector
Inform all involved parties about the manufacturing location for each Order and Sub‑order advising full address for inspection
Timely check the flow of Inspection correspondence and/or information between Wood and Vendors/Sub‑vendors
Arrange the Pre‑inspection Meeting when required
Schedule and coordinate the source Inspection visits
Check whether proper assignments are issued to Wood Inspectors and/or to Inspection Agencies that could have been engaged to act on Wood's behalf to cover inspection of main orders / sub-orders
Ensure that each Inspection visit is covered by the relevant report
Contact Vendors and/or the appointed Inspector at the final inspection stage to prevent and/or promptly solve any possible problem that may be cause of Rejection or Non‑Conformity
Push Vendors to solve / clarify all questions which could be arisen during Pre‑Inspection meeting or during Inspection visits and make sure that the job production proceeds correctly
Promote internal meetings when it is deemed necessary to clarify questions related to inspection and quality surveillance
Distribute the Vendor Non-Conformity Reports to the appropriate parties and obtain the evaluation of the Vendor’s corrective action proposal by the specialist, promoting and expediting the approval for a prompt clearance of the non-Conformities
Keep a log of all Vendor Non-Conformities issued and ensure they are all cleared before the issue of the inspection release notice
Obtain from the Inspector his final Inspection Report and acceptance, to be able to issue the inspection release notice
Issues the inspection release notice and shipping release notice
Expedites the completion and issuing of the Inspection Data Book from Vendors / Sub‑vendors

Expected:
BSc/MSc in in mechanical, chemical or energy engineering
Certified Level 2 Operator for non-destructive testing (PT, MT, UT, RT) in accordance with the rules established by the standard UNI EN ISO 9712 or trained and certified according to other international standards equivalent to UNI EN ISO 9712 (e.g. ASNT SNT-TC-1A)
Welding Inspector in accordance with the EWF or CSWIP
Proven experience in the role
Self-motivation, a proactive outlook and good communication skills
Empathy, curiosity, seriousness, aptitude for problem solving (being "pro-active")
Ability to listen, ability to relate to various business functions (including management) of both the supplier and the customer
Method for proceeding with the monitoring of the purchase orders (maintain a frequency of contact / visit with the supplier and check the main production steps)
Ability to concisely transfer the purchase order status and critical issues of each to other departments. Ask for action if necessary
Knowledge of the product for which you are expediting and preparing for the visit / contact desk. Prepare as much as possible even if you are not an "expert on the subject"
Knowing of the main applicable documents and pay particular attention to those that may be blocking the issuance of sub-orders or more generally to proceed in the correct execution / progress of the order in accordance with the production program
Knowing how to analyze a Vendor Document List and be able to grasp its criticalities
Knowing how to analyze a sub-order list and be able to grasp the critical issues, correlating them with production times
Knowing how to read and interpret a fabrication schedule/production program, paying particular attention to the critical paths
Knowing how to evaluate how realistic the program is by analyzing not only the real situation but also the feasibility (within the foreseen time frame) of the phases to come
Knowing how to read an Inspection and Test Plan and grasp any critical issues in relation to the progress of the order (witnessed tests, notification times, etc.)
Ability to manage the Expediting activity with the aim of preventing delays and managing the potential risk (or confirmation) of a delay
Fluent in English and Italian
