Responsible for delivering efficient and accurate HR and pay administration services across the employee lifecycle, in line with S+N policies, procedures, and statutory requirements. Provides timely and relevant information and advice to employees, managers, and external stakeholders to enhance customer efficiency, effectiveness, and confidence.
What will you be doing?
- Deliver a professional, accurate, and timely HR and pay administration service across all aspects of the employee lifecycle. Ensure customer queries, issues, and complaints are resolved efficiently, escalating and following up on service recovery where necessary. Maintain accurate records in Workday and related HR systems, ensuring data is entered in a timely and consistent manner. Uphold confidentiality and compliance with corporate policies, procedures, and agreed HR processes, while ensuring a high standard of customer service satisfaction.
- Oversee the end-to-end processing of employee lifecycle transactions such as onboarding, role changes, terminations, and benefits administration. Accurately process changes to terms and conditions, calculate entitlements, and ensure compliance with policies around probation, insurance validation, and leavers. Generate and distribute reports to relevant stakeholders to support timely decision-making.
- Ensure accurate and timely processing of pay data and payroll submissions, in compliance with statutory and audit requirements. Maintain up-to-date payroll records and documentation, lead deductions, and administer benefit schemes including Sharesave and insurance claims. Support HR Advisors with pay-related queries and act as a point of contact for benefits and reward administration.
- Handle the onboarding process, including offer letters, background checks, contracts, and induction documentation within set timelines and service levels. Ensure employment checks are accurately completed and renewed as required, and provide proactive reporting to highlight any compliance gaps. Support new employees by offering clear guidance on internal systems and HR policies.
- Actively contribute to continuous improvement by identifying service gaps, analysing performance data, and recommending enhancements to processes. Support the HR Customer Service Delivery strategy through ongoing service reviews and performance monitoring. Mentor and coach team members, deliver training for new joiners, and serve as a subject matter expert for country-specific legislation or processes.
What will you need to be successful?
- The ideal candidate holds a school diploma or equivalent and is fluent in both English and Japanese, with an HR qualification preferred. They bring over six years of HR administration experience within a regional HR Shared Services environment and have a strong grasp of the entire employee lifecycle, employment legislation, and HR best practices.
- They possess hands-on experience in delivering HR and payroll services in complex, customer-focused settings and have coordinated the work of other team members. The candidate demonstrates deep knowledge of S+N HR processes and systems, including Workday and case management tools, and is proficient in Microsoft Office applications.
- The candidate demonstrates strong relationship management by successfully communicating with stakeholders, building trust, and understanding their needs to resolve issues proactively. Their problem-solving skills are backed by sound judgment, analytical thinking, and the ability to interpret complex information to make timely and effective decisions within an HR context.
- They maintain a strong reputation for delivery through excellent planning, prioritization, and attention to detail. Committed to meeting deadlines and handling pressure, they consistently align with S+N values, driving performance through measurable indicators and high service standards. Their customer-centric mindset ensures responsiveness, clear communication, and solutions tailored to exceed expectations.
- With a keen eye on continuous improvement, they are well-versed in HR metrics and data analysis to inform decisions and enhance service delivery. - The role requires flexibility to support operations during Malaysia public holidays, with leave in lieu provided. Additionally, the candidate must be open to working early shifts starting as early as 7:00 AM on alternate months to ensure consistent service coverage.
