Documentation Specialist

The Documentation Specialist is responsible for processing shipments and all related activities for an assigned base of accounts. The individual will have contact with clients, carriers and potential clients on a daily basis. He/she must be proactive in providing quality client service and have the ability to handle pressure and responsibility in a fast pace environment, in a timely and affective manner. The successful candidate must have good client service skill and handle dual task. Being proactive in providing quality client service is a must.
Essential Job Functions:
- Being front desk Operator daily coordination and communication with internal and external clients and their suppliers.
- Coordination and communication with shipping line, vendors like transporter, CHA, CFS, Packing & fumigation etc.
- Sound understanding on logistics, international commercial terms. ability to take proactive measures, handle challenges, crisis situations with solutions on various critical shipments.
- Through knowledge about Shipping line portals, Odex, Descartes and other online platform used in freight forwarding processes.
- Handled shipments Operations and documentation of shipments like FCL, LCL, Console, Haz, ODC etc. taking lead with shipping line, CHA and suppliers to execute shipment as per planned vessel.
- Following up with suppliers for readiness status and dispatches as per shipment planning.
- Job opening and updating shipment entries, cost accrual in TMF system sharing draft HBL with shipper and overseas office for approval.
- Monitoring vessel cutoffs, following with shippers for documents status to meet vessel cutoffs like: SI, VGM, AMS and ISF filing and completing filing on time.
- Updating, controlling daily DSR for all shippers submitting weekly AMS, ISF and FMC filing reports. Checking 1Y and 3Z status of all shipments.
- Follow-ups with shipping line for booking revalidation, first print, BL amendment, BL release, original BL, follow-ups to collect shipping line invoices and clearing their payments.
- Resolving carrier, vendors invoice queries to clear their o/s payments on time.
- Handling any sort of destination communications to resolve urgent and critical cases, tracking and monitoring shipments in transit and stuck in third country.
- Monitoring daily KPI within desk, reviewing files/ jobs and locking into TMF system to meet monthly closing requirements.

Physical Requirements:
- Position may require extended periods of sitting, computer use, standing and walking. Some light lifting may be required in some instances.
Other Skills and Abilities:
- Knowledge of the Import/Export industry preferred.
- Interpersonal skills necessary to communicate (verbally, written and intuitively) effectively with both clients and internal personnel.
- The ability to work in a fast-paced environment.
- Must be career-oriented, hard-working, quick learner and have excellent recall for past events/situations/numbers.
- Strong knowledge of personal computers.
