Workforce Administrator

Principal Accountabilities:

  1. To co-ordinate all flight requirements within the APAC region and internationally in an efficient and cost effective manner to Team’s values of Safety, Quality, On-time and Efficiency. 
  2. To arrange all accommodation bookings within the APAC region and internationally ensuring our preferred hotels are used.
  3. Monitor travel and accommodation trends over a period of time and make recommendations to the Workforce Scheduling Manager for where savings can be made or corporate rates can be achieved.
  4. To record and log all costs concerned with travel and accommodation, ensuring the most cost effective options are considered and those selected and booked are within budget.
  5. To communicate with Site Supervisors/Operations teams on a regular basis and ensure that their requirements are met in line with the job costing.
  6. To collaborate with the service workforce to complete all required Passport, Visa Applications, Site passes and Site inductions, following the process through from initial application to updating TRMS with all document information after issue.
  7. To arrange any hire car bookings ensuring the successful delivery and collection of the vehicle in a cost effective manner.
  8. To identify any technician conduct that is not in line with company expectation around travel and accommodation.
  9. To have a commercial awareness of TEAM’s business in order to make informed decisions on travel and accommodation issues.
  10. To support updating TRMS which includes raising job number, technicians’ information and etc, as well as Australia client portal.
  11. Actively work to the Core values and FCPA requirements within all work based activities.

 

Skills and Knowledge required:

  • Completed ITE or O level

  • At least 2 years' experience in administration

  • Strong interpersonal and relationship skills

  • Exceptional communication skills both written and verbal

  • Strong time management skills and ability to prioritise workload

  • A can do attitude to all tasks

  • Ability to multi task and work under pressure in a pressurised environment

  • Proficiency at MS Office
