Position Summary

Performs highly complex (senior-level) consultative operational and technical assistance work. Work involves planning, developing, and implementing operations program(s) and providing consultative and technical assistance to internal staff, state agencies, or the general public. Requires frequent contact with agency employees, other state agencies and the general public. Consults and provides guidance to others. Works under the limited supervision of the Program Operations Director with moderate latitude for the use of initiative and independent judgment.

  • Performs a variety of operational and technical research, planning, and program administration activities to support the Program Operations division
  • Analyzes the application of and variations within programs to develop action plans for improving or initiating new programs; studies and analyzes operations and problems, prepares reports of findings and recommendations, and prepares justifications for the implementation of procedural or policy changes; contributes ideas for improving operational efficiencies
  • Coordinates and conducts inventory reviews, shipment inspections, etc. to determine compliance with applicable standards and regulations; tracks and updates inventory documents and systems to track the availability of items and their locations; manages supply cabinet, requests, and purchases to support NSOC employees
  • Prepares and enters requisitions in CAPPS for equipment, supplies, licenses etc. for the NSOC; maintains invoices from vendors, verifies accuracy and forwards to billing department
  • Reviews requests for access to the NSOC for approval; issues proper documentation to approved employees and vendors for access into the secure facility; assists security manager in updating security server with approved employee and vendor access information and notifies DPS of employee and vendor access changes; maintains CCure application for all individuals who obtain access to the facility; Assists with managing NSOC facilities including conference room access
  • Creates, organizes, maintains, analyzes, and/or prepares telecommunication manuals, files, projects, work orders, and materials in response to requests for program information and reports
  • Provides advice and counsel by interpreting policies, procedures, rules, regulations, and standards related to the program
  • Performs other work-related duties as assigned.
 

Qualifications

 

Education

  • Graduation from High School or equivalent certificate required.

Experience and Training Required

  • Minimum of five (5) years of full-time progressively responsible experience providing program and administrative support work to program staff including support for director and senior-level management staff.
  • Minimum of (5) years of experience working in Microsoft Office to include:
    • Microsoft Excel for creating spreadsheets and working with formulas and functions.
    • Microsoft Word for creating and editing documents.

Experience and Training Preferred

  • Experience providing program and administrative support in a State of Texas agency.
  • Experience in transcribing and preparing meeting minutes.
  • Experience working with Microsoft PowerPoint for creating presentations.

Knowledge, Skills, and Abilities

  • Working knowledge of modern office practices, procedures, communications, and equipment.
  • Familiarity with terms and concepts of information technology.
  • Skill in preparing and editing written documents includes experience in business correspondence formatting, use of proper grammar, spelling, and punctuation.
  • Ability to effectively interpret policies, procedures, and regulations.
  • Ability to exercise tact and diplomacy with internal and external customers.
  • Ability to be self-motivated, and work on concurrent tasks while effectively organizing, prioritizing, and coordinating work assignments and projects.
